This Privacy Policy describes how Versyn AI LLC ("Versyn AI," "we," "us," or "our") collects, uses, and protects information in connection with BidPro and any other services we operate (collectively, the "Service"). By using the Service, you agree to the practices described in this policy.

When you create an account we collect your email address and a hashed password. We do not store your password in plain text.
Contractors may provide their company name, phone number, business address, license number, contractor type, trade preferences, and a company logo. This information is used to populate bids and identify your business to customers.
Contractors enter customer names, email addresses, phone numbers, and service addresses to create and send bids. This data is stored on your behalf and is not used for any purpose other than providing the Service to you.
We store the bids you create, including job descriptions, line items, pricing, notes, and terms. Job descriptions you enter may be sent to an AI model to generate bid estimates — see Section 3 for details.
When a customer signs a bid, their signature image is captured and stored securely. Signatures are accessible only to the contractor who sent the bid.
Contractors may upload past bid documents (PDFs, images, spreadsheets) to help train the AI on their pricing. These files are processed by our AI provider and then stored or deleted per your instructions.
Subscription billing is handled by Stripe. We do not store your credit card number, CVV, or full card details. We store only your Stripe customer ID and subscription status to manage your account.
We collect anonymous usage analytics (pages visited, features used, actions taken) to understand how the Service is used and to improve it. This data does not include the content of your bids or customer information.
When a bid email is sent to a customer, we may track whether the email was delivered, opened, or whether a link was clicked. This information is visible only to the contractor who sent the bid.

We do not use your information or your customers' information for advertising, marketing, or any purpose unrelated to providing the Service.
When you use the AI bid generation feature, the job description you enter is sent to Anthropic (the maker of Claude) to generate line item estimates. Anthropic processes this data as a service provider under our agreement with them. Your job descriptions are not used to train Anthropic's models and are not shared with other customers.
Uploaded bid history files are also sent to Anthropic for extraction and then stored in our database. We do not retain uploaded files with Anthropic beyond the processing request.
We do not sell, rent, or share your personal information or your customers' information with third parties for marketing or advertising purposes — ever.
We share data only with the following service providers, solely to operate the Service:
Each provider is contractually required to use your data only to provide services to us and is prohibited from using it for their own marketing purposes.
We may disclose information if required by law, court order, or to protect the rights and safety of our users or the public.
We retain your account data and business information for as long as your account is active. Customer data and bid records are retained until you delete them or close your account. When you close your account, we will delete your data within 30 days, except where retention is required by law.
We use industry-standard security practices including encrypted connections (HTTPS/TLS), hashed passwords, and access-controlled storage. Digital signatures are stored in a private bucket accessible only via time-limited signed URLs. No security measure is perfect, and we cannot guarantee absolute security, but we take reasonable steps to protect your data.

The Service is intended for use by businesses and is not directed at children under the age of 13. We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will delete it promptly.
We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page. If changes are material, we will notify you by email or by a notice within the Service. Continued use of the Service after changes take effect constitutes acceptance of the updated policy.
This Privacy Policy is governed by the laws of the State of Washington, United States, without regard to conflict of law principles.
